A repeatable checklist for cleaning up files, tasks, notes, notifications and overlapping software.
Guide last updated 12 October 2026
A workspace audit helps uncover clutter, duplication and information that is hard to retrieve.
Review your tools
For each application, record its purpose, owner, cost, essential integrations and whether it stores sensitive information.
Clean up files and notes
- Identify duplicate or outdated material.
- Choose consistent folder and naming conventions.
- Archive completed projects.
- Confirm important files have recoverable backups.
- Test search and retrieval with real examples.
Reduce notification noise
Disable notifications that do not require timely action. Keep essential alerts for deadlines, approvals and operational issues.
Document the workflow
Write down where new work enters the system, who owns it, how it gets reviewed and where completed work is stored. Recheck after a month and simplify rules that create more effort than they save.
